Summary: VaultMemo is designed for local-first processing. Your audio recordings, transcripts, and notes stay on your Mac unless you choose to share them. The app does not upload your voice or note content to our servers.

Overview

Saint George Labs ("we," "us," or "our") builds VaultMemo, a macOS app that transcribes voice memos and turns them into notes on your Mac. This policy explains what data VaultMemo handles and what leaves your device.

1. Information processed on your Mac

Audio files. When you add a voice memo or audio file, VaultMemo reads and processes it on your device. Audio is not sent to Saint George Labs or to a cloud transcription service.

Transcripts and notes. Transcription output, summaries, tags, and generated notes are written to folders you choose on your Mac (for example, your Obsidian vault). We do not receive copies of this content.

App settings. Preferences such as folder paths, model choices, and feature toggles are stored locally in the app's configuration on your Mac.

2. Whisper transcription (on-device)

VaultMemo uses OpenAI Whisper models running locally on your Mac to transcribe audio. Model files are downloaded to your computer and used entirely on-device. Transcription does not require an internet connection after models are downloaded, and transcript text is not transmitted to us.

3. Ollama (local AI summarization)

If you use Obsidian mode or other features that summarize or tag notes, VaultMemo sends text to Ollama via a local API on your Mac (typically http://127.0.0.1:11434). That communication stays on your machine and does not pass through our servers.

Ollama is third-party software you install separately. When you download models or updates through Ollama, those requests go to Ollama's infrastructure and are governed by Ollama's own terms and privacy practices. We do not control Ollama's data handling.

4. Software update checks

VaultMemo periodically checks for new app versions by contacting GitHub Releases (via the electron-updater library). These requests may include basic technical information such as your app version, operating system version, and a generic request to GitHub's servers. They do not include your audio, transcripts, or note content.

You can defer or skip updates; the app continues to work without checking for updates until you choose to update.

5. Purchases and license validation (Lemon Squeezy)

VaultMemo is sold through Lemon Squeezy, our payment and license provider. When you purchase a license or activate VaultMemo:

We receive purchase and support information from Lemon Squeezy that is necessary to fulfill your order (for example, your email address and license status). We use that information to provide your license, send download links, and respond to support requests. We do not sell your personal information.

6. What we do not collect

VaultMemo is not designed to collect or transmit:

We do not use analytics or advertising trackers inside VaultMemo.

7. Data retention

Content you create with VaultMemo remains on your Mac under your control. You can delete audio, transcripts, and notes at any time by removing files from the folders you configured.

Purchase records retained by Lemon Squeezy and any support correspondence you send us are kept only as long as needed for billing, licensing, and customer support.

VaultMemo is not directed at children under 13, and we do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy when VaultMemo's practices change. When we do, we will revise the version and effective date at the top of this page. Material changes will be reflected on this website.
